Settings for Email Workflow

In order to see the email option for workflow configuration, you must first configure the SMTP server settings.  These are created just like any other Site Property as shown on the Settings Page.  

At minimum you will need to set these site properties before you will see the workflow option to configure email:

  • smtpserver
  • smtpport
  • smtpfrom

Optionally, you can also set site properties for:

  • smtpuser
  • smtppassword
  • smtpssl - this should only be present and set to TRUE if your email server is expecting an SSL connection on the port specified above
  • smtpuseremailbody - this will be the content body (HTML) for the new user creation notification.  You can use the following tags in your email body and they will be replaced with the appropriate content at processing time.  Here is a sample new user email value "<h1>New Forms inMotion Account Information</h1><br/><h3>Account EMail: ###NEWUSEREMAIL###</h3><br/><h3>Account Login: ###NEWUSERPASSWORD###</h3>Here are some instructions for connecting to the site"
    • ###NEWUSEREMAIL###
    • ###NEWUSERPASSWORD###
    • ###NEWUSERFIRSTNAME###
    • ###NEWUSERLASTNAME###
  • smtpuseremailsubject - this will be the subject content for new user creation notification.


If you are going to use GMAIL for outbound (this seems to work OK for small volumes) you will need to 

  1. Enable the POP login settings in GMAIL https://mail.google.com/mail/u/0/#settings/fwdandpop
  2. You have to check the scary box that says allow less secure apps to log in on this page https://myaccount.google.com/security
